Travel & Tournaments

The people behind the game.

Less travel scramble. More time for the game.

A practical planning guide for volunteer youth-sports team managers in British Columbia. Organize tournament details, compare accommodation and keep families informed without promising costs or arrangements before they are confirmed.

Start with your club or school's travel and supervision procedures. Confirm who can approve bookings, spending and team arrangements before making commitments.

Start with the tournament details

  • Confirm registration acceptance, venue locations and the expected competition dates.
  • Check entry deadlines, fees, withdrawal terms and any organizer accommodation requirements.
  • Separate confirmed game times from preliminary schedules.
  • Identify the person responsible for organizer updates and family communications.

Compare accommodation thoughtfully

Prioritize three-star-or-better lodging where practical, then compare the details that matter to your families. A rating alone is not a guarantee of suitability.

  • Total price for the stay, including taxes, mandatory fees and parking.
  • Distance and realistic travel time to each venue.
  • Room types, bed configurations and occupancy limits.
  • Breakfast, food storage, laundry and accessibility needs.
  • Check-in times, cancellation terms and payment deadlines.
  • Whether families can book and pay individually.

73smile does not provide a complete accommodation directory or claim verified hotel discounts. Confirm availability, suitability and current terms directly with the property.

Ask about a group booking

  1. Estimate the number of rooms and nights without promising participation.
  2. Ask the property for written group terms and an itemized rate.
  3. Confirm the booking deadline, minimum commitment, deposit and any responsibility for unused rooms.
  4. Clarify individual cancellation terms separately from the group arrangement.
  5. Have the authorized club or school representative review commitments before anyone signs or pays.
  6. Share the confirmed booking process and deadlines with families.

Build the travel budget

List estimated and confirmed costs separately. Make clear which expenses come from team funds and which families pay directly.

  • Tournament entry and approved team expenses.
  • Accommodation and parking.
  • Transport, fuel, ferries or flights where relevant.
  • Meals and any approved group activities.
  • A clearly identified allowance for uncertain costs, subject to organizational approval.

Update the estimate when arrangements change. Use your organization's financial procedures for approvals, receipts and reimbursements.

Handle rooming arrangements carefully

Follow your organization's safeguarding and supervision procedures. Plan separate sleeping arrangements consistent with those procedures; do not assume a hotel room configuration is appropriate simply because it is available.

Collect roommate preferences confidentially through an organization-approved process. Share only what authorized organizers need to arrange rooms, not a public spreadsheet of personal preferences. Confirm proposed arrangements with the appropriate parents or guardians and organizational representative before finalizing them.

Give families one clear travel update

Use your approved team communication channel and keep the current itinerary easy to find. Include:

  • Confirmed dates, venues and arrival expectations.
  • Accommodation booking instructions and deadlines.
  • Estimated costs and what is included.
  • Transport responsibilities and any organization-approved arrangements.
  • Meal plans, packing reminders and required team equipment.
  • The contact for schedule changes and the organization's emergency communication process.

Mark tentative details clearly and tell families when to expect the next update.

Before departure

  • Reconfirm venue addresses, reservations and the latest tournament schedule.
  • Check transport timing and relevant route or ferry updates.
  • Confirm volunteer coverage and the designated adult contacts.
  • Send a concise final itinerary and explain where urgent changes will appear.

After the tournament

Record approved expenses, submit receipts, reconcile team-paid costs and note what would make the next trip easier. Follow your organization's process for closing bookings and handling remaining financial commitments.

Frequently asked questions

Does a group booking guarantee a lower price?

No. Compare the total cost and written terms with other suitable options. Do not describe a rate as a discount unless the property has confirmed it.

Should the manager pay for all rooms?

Confirm your organization's approved process first. Ask whether individual family booking is available, and do not take on a financial commitment without authorization.

What if the schedule changes?

Confirm the update with the organizer, assess its effect on bookings and transport, and send families a clearly labeled change through the agreed channel.
