Team Apps & Communication

The people behind the game.

One team. One clear place for updates.

A practical starting guide for volunteer managers organizing youth-sports communications in British Columbia and across Canada.

Start with your club or school

Before creating a new team, ask your club or school which platform it uses, whether your team already has an account, and who manages access. Request an invitation or transfer of the appropriate administrator role rather than creating a duplicate.

  1. Confirm the approved platform and team account with your coordinator.
  2. Use the email address associated with your invitation. If you cannot find the team, ask the administrator to confirm your email and resend the invitation.
  3. Confirm which responsibilities and permissions belong to you.
  4. Agree with the coach on how schedules, attendance and family updates will be managed.

Your team setup checklist

  1. Confirm the roster. Coordinate with the club before importing or inviting anyone. Avoid duplicate family records.
  2. Invite families. Follow the organization's invitation process, explain how to join, and give families a contact for access problems.
  3. Build the calendar. Add confirmed practices, games and meetings with locations, arrival times and clear instructions. Explain where changes will appear.
  4. Set attendance expectations. Tell families when to respond and who to contact about last-minute absences.
  5. Agree on communications. Identify the main channel for routine updates and the separate process for urgent changes.
  6. Assign volunteers. List roles, shifts and a coordinator. If your app does not support assignments in your plan, use an organization-approved shared schedule.
  7. Test the experience. Ask an adult team representative to confirm that invitations, event details and updates are understandable.

Keep the season manageable

Send a concise weekly update, keep event details current, and make the next deadline easy to find. At season closeout, confirm account handover and administrator access with your organization.

Frequently asked questions

I cannot see my team. Should I create another one?

Not yet. Ask the existing administrator to confirm the team, season and email address on your invitation. Use the provider's official support if access is still unresolved.

Which app should we choose?

Begin with the platform your club or school already supports. Before changing tools, compare the functions your team needs, available support and the current plan's features and costs.

Does every plan include every tool?

Do not assume so. Confirm current features, permissions and pricing with the provider and your organization.
